Phone
How D3x Phone AI answers inbound hotel lines and in-room phones in natural speech, acts in the PMS during the call, continues on WhatsApp or SMS, and warm-transfers the rest.
- Property lines and in-room phones
- Same Skills Engine as messaging
- 70+ languages, mid-call switching
- 18K+ hours of voice per month
Phone AI is the voice interface to the same D3x agent that runs messaging and email. It answers inbound calls on property lines and in-room phones in natural speech, verifies the guest against the live PMS, resolves the request or routes to your team, and logs every decision. Guests hear the hotel they booked, not a call-centre script.
Production scale: 18,000+ hours of voice handled per month, inbound on property and in-room lines. After 20,000 guest surveys, D3x AI scores 4.58 against a 4.62 human benchmark. Staycity runs Phone AI on property lines across a multi-country aparthotel portfolio; McDreams rolled inbound voice out across Germany.
How a call is handled
- Answer — AI handles the routine guest call on the first ring
- Verify — guest identity against PMS and policy (surname, reservation number, or caller ID)
- Resolve — fetch live data and execute the allowed action
- Handoff — escalate to a human when stakes or policy require it, with full context
Trigger is an inbound call on the property line, department number, or room extension. Systems in the loop: PMS, CRM, and telephony. Output is a voice reply, a WhatsApp or SMS follow-up, or a human handoff.
Live voice skills on day one
Voice uses your existing D3x knowledge base and hospitality skills. Property facts, policies, escalation rules, and brand tone carry over automatically. There is no separate voice setup.
Human handoff
When a guest asks for a person, or policy requires one, the AI transfers to any phone number or queue you define: front office, reservations, lost and found, or any team number. Staff receive a spoken summary plus reservation context.
Booking intent
The agent confirms dates, guest count, preferences, live rates, and availability, then sends a WhatsApp or SMS deep-booking link so the guest can complete immediately.
Reservation check
Guests verify their stay with surname and reservation number, or by caller ID where available, and get a clear confirmation on the call. No hold time for a lookup the PMS already has.
Group meetings
When callers ask about hosting a group meeting or event, the agent captures the details, creates a ticket for your team, and confirms someone will reach out within 24 hours.
Parking
Parking availability, rates, and how to book are answered from your policy on the call. A WhatsApp message with details or a link to reserve or pay is sent during the call.
No more phone trees
D3x Voice becomes the intelligent call layer: it answers, understands intent, verifies the guest, checks live systems, and either resolves the request or transfers to the right person. Operators no longer need legacy PBX or IVR to route guest calls.
| Legacy PBX / IVR | D3x Voice |
|---|---|
| Static press-1 menus and department trees | Natural conversation replaces menu navigation |
| Guests repeat the same details after transfer | Intent, room, and reservation context travel with the call |
| Routing changes depend on phone-system configuration | Routing rules live with your hospitality workflows |
D3x can sit on top of your existing telephony during rollout, then replace PBX/IVR logic as properties move call handling into the AI layer.
Built-in functions
Natural speech is only one layer. Voice combines LLM reasoning, telephony, PMS data, routing rules, and audit trails so calls can be resolved, transferred, or turned into action.
- LLM-based phone agent — understands intent in open conversation, asks clarifying questions, and stays inside approved hospitality workflows.
- Live rates and availability — reads real-time PMS data before answering availability, rate, upsell, and stay-detail questions.
- Reservation lookup — matches callers through phone number, surname, reservation reference, or guest data depending on your setup.
- Locally hosted, low-latency infrastructure — voice infrastructure can run close to your region for fast call response and GDPR-aligned data handling.
- Silent handoff learning — when staff take over, the AI mutes itself, listens, transcribes, and turns knowledge gaps into improvements.
- Brand personality and pronunciation — personalized greetings and pronunciation rules for names, places, and hotel brands.
Live connections during the call
When a guest calls, D3x looks up the booking and takes action before it speaks, so every reply is accurate and up to date. Voice connects to your PMS and CRM so callers are verified and actions execute, not IVR trees that dead-end.
- Guest calls your property or in-room line — main number, department line, or room phone.
- We identify the caller — name, booking reference, or phone number matched to the reservation in your PMS.
- We check your live tools — room status, add-ons, housekeeping tickets, CRM notes, pulled in seconds.
- They get a real answer on the same channel, or a handover to your team with full context.
Missed calls
Callers on the property line are usually high-intent, closer to booking than website visitors. Hotels still miss a large share of inbound calls during peak hours, nights, and weekends. That demand rarely waits: guests book elsewhere, often through an OTA with commission attached.
- 20–30% of inbound reservation calls go unanswered in peak windows (widely cited industry estimates for independent and mid-scale hotels).
- $180K+ estimated annual direct revenue lost per property when missed calls reroute to OTAs (typical analyses for 50–80 room hotels).
- $1,570 average voice-channel booking value in North America hospitality benchmarks.
Industry context: Revinate 2024 Hospitality Voice Benchmark (NA); published analyses of missed hotel reservation calls (2024–2025). Figures vary by property size, season, and staffing. D3x Voice answers every inbound call, resolves intent, captures bookings, or hands off to your team with full context.
Language, brand voice, and audio quality
Operators choose accent, pace, and personality per property, from a precise city-hotel reception to a warm resort concierge. Hundreds of voices and speaking styles, each tuned to the brand it represents. Tone is set per property, not per group, so a five-star concierge and a budget city hotel never sound like the same script.
- 200+ voices to choose from, warm to crisp, young to seasoned.
- Hundreds of accents, so a Munich property can sound like Munich.
- 100+ languages spoken natively, not translated word by word; 70+ with mid-call switching.
- Noise cancellation — traffic, rolling suitcases, a crowded bar behind the caller. The agent separates the voice from the room.
- Voice cloning — record your best front-desk host once; that voice can answer across phone, in-room extensions, and outbound calls, in every supported language. Consent-based; the voice is never shared across accounts.
Mid-call language switch: no menus, no press-2-for-English. The agent hears the switch mid-sentence and keeps the same conversation going, same reservation context, same Skills Engine. Language detection, the switch, any PMS update, and the full transcript are logged in the audit trail.
Call workspace
Inbound and escalated calls sit in a single queue: caller matched to reservation, AI on or off per call, and an instant summary so the team never starts cold.
- All calls, one view — active, AI-handled, and completed, filterable without switching tools.
- Caller + reservation live — PMS data beside every call: room, dates, amount, and booking source.
- AI when you want it — toggle automation per call; warm handover when a human should take over.
- AI summary on every call — recap of intent, blockers, and next step before anyone listens to the full recording.
The call can continue on WhatsApp or SMS
When a guest asks for something easier as a link, confirmation, photo, policy, or follow-up, D3x can send WhatsApp or SMS during the call or right after hang-up. The thread keeps the call summary, reservation context, and next action.
- Guest calls the property line, room phone, or main number — no app download.
- D3x offers a follow-up, confirms consent, and chooses WhatsApp or SMS based on the guest and market.
- Booking links, policies, invoices, maps, photos, and ticket updates land while the call is still fresh.
- The guest replies later in the same conversation; operators see the call transcript and full context.
Guest journey on voice
The same Skills Engine on voice, not phone trees. Every phase is logged and connected to your PMS and ops stack.
Pre-arrival
Guests call before check-in with arrival questions, booking intent, or missing details. D3x confirms reservations, sends check-in and booking links, answers policy questions, and surfaces upsells while intent is highest.
- Booking confirmation from the PMS: check-in time, room category, add-ons.
- Online check-in magic link with a secure token.
- Live rates and upsell: parking, breakfast, early check-in.
- OTA and channel matching, including reservation ID quirks generic AI misses.
- Group and event intent captured and routed to sales as a structured ticket.
In-stay
Towels, maintenance, late checkout, and VIP issues become tickets with room context and an audit trail.
- Housekeeping tasks to the housekeeping API or D3x ticketing with room and priority.
- Maintenance requests logged to engineering via your maintenance stack.
- Late checkout extended in the PMS where integrated, fees confirmed, reservation updated.
- VIP escalation from CRM tier and brand policy to the duty manager with full call context.
- Talk to human: seamless handover; staff see what the guest already said.
Post-stay
After checkout, guests still call about invoices, lost items, and rebooking.
- Invoice request and update: booking reference, company VAT, and email forwarded to accounting with reservation context.
- Lost and found: structured what / where / when, matched against records.
- Rebooking and new intent started on engine, PMS, or in-call collection.
- Complaint and recovery with escalation rules, not guessed answers.
- Knowledge gaps logged instead of hallucinated.
By property type
Same Skills Engine and integrations, tuned for how guests actually call you on property lines, reservations, and in-room extensions.
City and business hotels
Booking confirmation, pre-arrival questions, and in-stay requests resolved on the channel the guest already uses.
Luxury hotels and resorts
Concierge-grade tone on the property line. VIP logistics, spa requests, transfers, and upgrades handled with discretion.
Aparthotels and extended stay
Long-stay housekeeping, self check-in, and access codes from the first call, with follow-up links sent by SMS or WhatsApp.
Hostels and serviced apartments
Fast availability, group bookings, and on-site fixes at hostel pace; self-service check-in, maintenance tickets, and door codes when there is no front desk.
Platform controls
Run voice your way: quality, hours, routing, and handoff.
- CSAT on every conversation — compare AI and human performance per thread.
- Business hours per day — automation when you want it; different rules after hours (handover, auto-reply, or queue for morning).
- Advanced routing — connect to a human, dial a number, automate via API, route to reception, send a URL, or look up the knowledge base.
- Ticketing — any guest request can become a structured ticket with room and reservation context, forwarded by email, WhatsApp, or your helpdesk.
- Call recording and retention — configurable recording, retention, and access policies for legal and operations.
- Warm transfer — spoken summary plus reservation context; staff never ask the guest to repeat themselves.
Governance
Routine automation
Standard guest calls handled end to end without queue time.
Human handoff
Timestamped escalation when confidence or policy requires a person.
Per-property scripts
Brand voice and opening protocols per property type.
Call logging
Transcripts and decision rationale in the audit trail.
Pricing
D3x Phone AI is €100 per month for 5 hours of spoken AI time, then €12 per extra hour, separate from the messaging subscription of €5 per room per month. Extra hours only apply when spoken time goes above the included 5 hours. Night and overflow coverage is the usual starting point because missed calls there lose bookings; in-room phones typically follow once escalation rules are trusted.
What to decide before go-live
- Which trunks and numbers are in scope for phase one (reservations, front desk, overflow, nights, in-room).
- Warm-transfer destinations and VIP / complaint routing rules.
- What the agent is allowed to write to the PMS during a live call.
- How night and overflow coverage should behave when nobody is on the desk.
- Brand voice, accent, and Sie/Du or formality register per property.
- Whether WhatsApp or SMS follow-up is enabled during the call, and how consent is captured.
